How it works

How does the connector between Sage and Shopify work?

Open-Flux acts as an intelligent gateway between Sage 50 and Shopify. It works according to the following principle:

Technical architecture

The connector is installed on a computer or server that has access to your Sage 50 environment. It communicates with:

Sage 50: Through Sage Business Objects and access to the SQL Server database.

Shopify: Through Shopify’s official REST and GraphQL APIs (Admin API).

Outbound flows (Sage → Shopify)

Product, inventory, and pricing data is extracted from Sage 50 according to your selection criteria. The connector applies transformation rules, field mapping, conversions, and other required processes before sending the data to Shopify through its API.

Products are automatically created or updated in your store.

Synchronization runs at the frequency you define: every 5 minutes, every 15 minutes, every hour, or according to a custom schedule.

Inbound flows (Shopify → Sage)

The connector periodically checks Shopify for new orders. For each order, it creates the following in Sage 50:

The customer: automatically created if it is a new customer, or linked to an existing customer through an email address search.

The sales document: quotation, sales order, delivery note, or invoice, depending on your configuration.

The order lines: products, quantities, unit prices, and any applicable discounts.

Additional information: shipping costs, payment method, carrier, and customer comments.

Error handling and logs

Each synchronization is recorded in a detailed execution log. In the event of an error—such as an unknown product, insufficient stock, an invalid customer, or an incorrect data format—the connector:

  • Generates an alert by email or in the dashboard.
  • Marks the data as erroneous and keeps it pending correction.
  • Continues processing the remaining data.
  • Allows the process to be restarted manually once the correction has been made.

Deployment

Connector implementation

The implementation of a Sage 50–Shopify connector with Open-Flux follows a structured four-phase process.

1
Requirements analysis
A detailed assessment of your environment: Sage 50 version, modules used, catalog structure (number of products and variants), and specific management rules (pricing, multi-warehouse inventory, and customer terms). We also identify priority data flows and any potential technical constraints.
2
Connector configuration

Detailed configuration of each data flow: field mapping between Sage and Shopify, transformation rules (VAT-inclusive price calculations, unit management, and category mapping), selection criteria for the products to be synchronized, and synchronization frequencies tailored to your business.

3
Testing and validation
We validate each data flow in a pre-production environment using real data from your company. We test both standard scenarios, such as product creation and order imports, and specific situations, including out-of-stock products, orders with discounts, new customers, and products with variants. Where necessary, we make the required adjustments before going live.

4

Go-live and training

We deploy the integration in the production environment and initialize the data by carrying out the initial product export to Shopify. We also train your team to use the dashboard, interpret the logs, manage alerts and errors, and follow the procedures required to restart data flows when necessary.

✓ Ongoing support
After going live, our team remains by your side to provide technical support, make configuration adjustments, and add new data flows whenever needed. You will have a dedicated specialist who understands your environment and will help you get the most out of the integration.

Best practices

Mistakes to avoid

What mistakes should you avoid when integrating an ERP connector with an online store, and how can you prevent them?

⚠️
Neglecting data quality in the ERP system

Neglecting data quality in the ERP system

✓ Solution: Before starting the synchronization, review and clean up your product data in Sage 50. Complete any missing product information and verify that prices, inventory levels, and categories are correct.

⚠️
Synchronizing the entire catalog without applying filters
Synchronizing the entire Sage catalog with Shopify may result in obsolete products, internal references, or items not intended for online sale being published.
✓ Solution: Define clear criteria for selecting the products you want to synchronize, for example by product family, publication status, or minimum stock level. This ensures that only products relevant to your online store are published.

⚠️
Underestimating the testing phase
Moving directly to the production environment without testing every scenario can lead to pricing errors, incorrectly synchronized orders, or inventory issues.
✓ Solution: Carry out a comprehensive validation phase in a pre-production environment. Test both standard scenarios and specific situations, such as discounts, new customers, or out-of-stock products.

⚠️
Failing to define an error-handling process
Without a clear procedure, synchronization errors can accumulate and delay issue resolution.
✓ Solution: Train your team to interpret the logs, assign responsibility for managing alerts, and document the procedures for resolving issues.

⚠️
Choosing an inappropriate synchronization frequency
A synchronization frequency that is too low can lead to overselling due to outdated inventory, while a frequency that is too high can place an unnecessary load on the systems.
✓ Solution: Adjust the synchronization frequency according to your sales volume and the importance of each data flow. For example, inventory usually requires more frequent updates than product information.
